What is a “Unit” in MyCloud Secure ID?

In MyCloud Secure ID, a Unit refers to a campus or department within an organization.

Each unit has its own data environment to separate student or employee records and maintain organized ID management.

What is a Data Agent in MyCloud?

A Data Agent is a connection that allows MyCloud Secure ID to receive information from other systems such as:

  • Student Information Systems (SIS)
  • HR databases
  • Access control systems
  • Bus tracking platforms
  • Identity management tools like Clever or ClassLink

Data is securely transferred using SFTP (Secure File Transfer Protocol) as a CSV file. This allows organizations to update records automatically without connecting directly to their internal network or firewall.

Data Agents can also send photos captured in MyCloud back to their data systems to keep records consistent across platforms.

How does MyCloud Secure ID integrate with school systems?

MyCloud Secure ID integrates with several operational systems used by schools and organizations, including:

What is a Card Print Manager (CPM)?

The Card Print Manager (CPM) is software that manages the connection between MyCloud Secure ID and the ID printer.

It acts like a small print server and must run on the computer connected to the printer.

The CPM allows administrators to:

  • Send ID badges to print
  • Validate print jobs
  • Automatically print cards when submitted
  • Monitor printer activity

The program runs in the background and ensures reliable ID badge printing.

How many Card Print Managers can a campus use?

Each MyCloud unit typically includes two Card Print Managers (CPM).

Additional CPM installations can be added if needed, particularly when campuses have multiple ID printers.

Can MyCloud use photos from our yearbook company?

Yes. Schools can upload photos in bulk using a batch upload process. The best practice is for the yearbook company to attach the student ID number to each photo file.

Using student ID numbers ensures the photos match the correct student records and avoids duplicate name issues.

Can we upload our own data instead of connecting to a Student Information System?

Yes. Organizations can manually upload a CSV file into MyCloud Secure ID to update student or employee records if they prefer not to connect directly to a Student Information System.

What ID printers work with MyCloud Secure ID?

Most ID card printers are compatible with MyCloud Secure ID software.

However, organizations should confirm compatibility, especially if they are using an older or discontinued printer model. We highly recommend pairing MyCloud software with our Precision ID Printer for maximum compatibility.

What types of cards can be printed?

MyCloud Secure ID supports printing on:

  • Standard 30 mil blank ID cards
  • Most RFID-enabled cards

How secure is MyCloud Secure ID?

MyCloud Secure ID uses secure file transfer methods such as SFTP to exchange data between systems. This means organizations do not need to open firewall access or directly connect their internal systems to the MyCloud platform.

How many users can access a MyCloud unit?

Each MyCloud unit supports unlimited users. This allows administrators, staff, and departments to access the platform without user limitations.

Are software updates included?

Yes. Software updates and maintenance are included in the annual cloud subscription fee, and updates are delivered dynamically through the cloud platform.
